There have been significant administrative changes behind the scenes at the Club, to ensure we meet our new responsibilities as a registered charity, and to drive a renewed focus on our club primary aim - community participation in sport .

To enable club volunteers to focus on delivering our sporting activities, and to support Reagan and her team in delivering TheBar@TheGrove hospitality services, we are now recruiting for a Club Administration Manager to look after all of the club compliance/admin/finance/maintenance responsibilities, and for a Company Secretary to support our Committee and Board of Trustees. We are also looking for some additional casual staff to work occasional hours behind the bar for events.

CLUB ADMINISTRATION MANAGER
Reports to: Chairperson or delegated Trustee

Hours of Work: 30 hours per month

Location: On site at HCSC

Role Overview

The Club Administration Manager will play a vital role in promoting our charitable aim, developing and managing community partnerships, ensuring our staff and volunteers are well managed and valued, and ensuing all of our administration, financial and facilities management systems are effective and compliant. This is an exciting opportunity to help grow a small sports club into a thriving community charity.

Job Summary:

To oversee the club's operations, ensuring adequate facilities, staff, and administration management. You will supervise the bar manager, and liaise with club volunteers, contractors and community groups to ensure day-to-day events and activities run smoothly. You will manage the club contracts, conduct risk assessments, and ensure that all hirers of club facilities comply with agreements and payment terms. You will manage financial tasks such as authorising and overseeing salary payments, and collaborate with the accountant and bookkeeper to ensure accurate financial record keeping. Additionally, you may assist in organising and promoting events, and provide support at the bar when necessary.

Person Specification:

To succeed in this role, candidates should possess excellent communication and customer service skills, strong financial management abilities, and proficiency in IT systems. High integrity, self-confidence, a commitment to inclusivity and a pro-active approach to engaging with people from all walks of life is essential. Experience in event management or hospitality and working with volunteers is preferred.

COMPANY SECRETARY

Reports to: Club Chairperson

Hours of Work: 5 per month (on a self-employed basis)

Location: Working from home, with attendance at monthly meetings on site at HCSC

Job Summary:

To provide administrative support to the HCSC Board of Trustees and HCSC Committee, preparing and circulating agendas and minutes, conducting research when required, and facilitating communication between Trustees, Committee Members and club staff and volunteers. You will liaise with the accountants to prepare and submit Annual Returns, and ensure Club compliance with Charity Commission requirements.

Person Specification:

To succeed in this role, candidates should be organised, efficient and possess excellent communication skills. Familiarity with IT systems, and a commitment to inclusivity is required. Previous experience as a company or committee secretary is preferred, but not essential.

BAR/EVENTS CASUAL STAFF

Reports to: HCSC Bar Manager

Hours of Work: Variable, evenings and weekends. Hours confirmed on a monthly basis.

Location: On site at HCSC

Job Summary

To provide excellent customer service to members, customers and visitors. Bar experience preferred but not essential.
