New Membership Structure Announcement

Dear Members

As a registered charity, the primary aim of our club is ‘ community participation in sport , particularly cricket, football and squash/racketball’. Our club values, as defined by our members, are ‘welcoming, sporting and inclusive’.

We have an equal, constitutional commitment to cricket, football and squash/racketball, and to making our sports, social and wellbeing activities easily accessible to everyone in the community. While we play different sports, we are one club, sharing one facility.

In this context, Trustees are delighted to announce the introduction of a new One Club Membership Structure.

From 1st April 2025 HCSC Membership gives access to all sports across the Club.

The new membership categories are:

Adult Member - 12 months £130

Student Member - 6 months £30

U18 Member - 12 months £35

U18 Member - 6 months £20

What do I need to do about my membership?

Your current membership remains valid until your renewal date. You will receive a reminder and can then choose to renew under one of the new categories. Current members (except social members) can access all club sports from 1st April 2025.

12 month memberships operate on an annual rolling basis (the renewal date is 12 months after the joining date, wherever that falls in the year). 6 month memberships are seasonal (primarily aimed at those who exclusively play cricket or football.) Half yearly membership renewals will be due on 30th April (for 1st April – 30th September Membership) and 31st October (for 1st October – 31st March Membership).

What happens if I choose a 6 month membership?

You can only access club sports for 6 months, but will remain on our mailing list for the full year (unless you choose to unsubscribe). We hope you will want to take part in club social activities year round. As the Club now holds a full Premises Licence you do not need to be a member to use the bar (although you need to pay 12 months membership if you want member prices year round!)

There is a grace period for half yearly memberships where sporting fixtures occasionally extend beyond the 6 months. For example, an Oct – March membership will cover any football fixtures in April or September.

We hope you will consider supporting the club with a 12 month membership. For just over £10 a month (2 beers or 3 coffees equivalent?..) you’ll have full access to all sports and facilities year round, and be supporting your club to meet ever increasing insurance, utilities, maintenance and staffing costs.

How will my membership be managed?

If your primary sport is squash, your membership will be managed through the MyCourts system, if your primary sport is football or cricket, your membership will be managed through Pitchero. Social memberships will be managed through the system you joined through (for those who used paper forms to join, it will be MyCourts).

We appreciate that for some members this will mean being registered on 2 systems. As MyCourts and Pitchero are exclusively linked to their respective sporting leagues/competitions we haven’t yet found one integrated system that works for all our sports. Our apologies if this means you receive the same communication from the 2 systems occasionally – we are doing our best to filter club emails to avoid duplication.

How do I pay for my renewal?

When you get your renewal reminder, you can choose to pay online (Mycourts or Pitchero), or by payment link (sent with your reminder) or by completing a paper form and paying by card/cash/cheque over the bar.

With the exception of Hythe Petanque Club social memberships, we no longer accept BACs payments for memberships.

As Club Membership includes your commitment to our Code of Conduct, and the Club has legal GDPR responsibilities, completion of a membership consent form (paper, email or online) is still required annually.

If you do not pay or respond to a renewal request within 30 days of the expiry date of your membership your account will be made inactive, and you will not be able to access court bookings or play in HCSC team/league competitions.

What if I can’t pay my membership?

A small fund is available to support anyone experiencing financial hardship. Any member may request assistance with membership costs for themselves or another member, by email to membership@hythecsc.com All such requests are confidential, seen only by 2 designated Club Officers.

What if I am an Honorary Member?

All current Vice Presidents/Honorary Members will transfer to complementary Adult 12 Months membership. You still need to complete a membership consent form, so will receive an annual renewal reminder and optional donation request, as usual.

What if I want to play another sport?

You can find information about all our sports, training times and contacts on our website: hythecsc.com under the ‘information’ tab. Contact info@hythecsc.com if you'd like to be put in touch with another member or coach from the sport you are interested in.

If you want to book courts to play squash or racketball email membership@hythecsc.com to request a login to the MyCourts booking system.

Please note that courts are already very busy at peak times (particularly 4pm – 8pm on weekdays). We appreciate members booking outside of those times where possible.

If you want to play petanque, Hythe Petanque Club (HPC) will be delighted to welcome you. Say hello if you see a game going on, or drop a line to info@hythecsc.com and we'll put you in touch. HPC hold HCSC social/club memberships, but remain an independent club, with a small additional annual membership fee for those who want to take part in their French exchange competitions.

Can I buy Family Membership?

We are working towards introducing a Family Membership option once our systems can accommodate it.

Family, friends, and children under parental supervision are very welcome to club social events, to visit the bar and to watch our sports fixtures. U18s only require club membership if they play sport, so we can ensure they are properly registered and safeguarded.

How do I get a key fob?

You can get a key fob on payment of a £10 deposit by cash or card at the bar.

What if I am a student and only use the club in university/college holidays?

A pro-rata discount on 12 months memberships can be applied for students studying away from home, by application to membership@hythecsc.com

How can new members join?

Go to our website hythecsc.com and follow the links to join online, pick up a paper membership form at the club, or email membership@hythecsc.com to request a form by email.

Any questions?

You can find our Membership Policy and form on our website under the ‘information’ tab. You can reply to this message, or email membership@hythecsc.com with any questions and Jayne and Rachel will be happy to help.

We really appreciate your patience while we roll out the new membership structure. As with anything new, there may be some challenges until we get it running smoothly.

Trustees would like to extend their particular thanks to volunteer Club Membership Secretary Jayne Wilkins for all her work, patience and good humour during the transition to the new structure, and to our sports captains and coaches who will be adjusting to new ways of working as the new system is introduced.

Thank you to all our members for your continued support and commitment to our club aims and values.

Trustees: Philip Carter, Martin Cobb, Steve Eggleston, Tom Locke, James Pope

Company Secretary: Rachel Gainsford
